sales in the month after adopting the agent
Reported by the client for a single month. Results depend on each operation.
The challenge
Every order went through the sales team: reps visited or called customers and loaded each order on the company's web ordering platform. Customers could not order on their own, and reps had to call the office to check stock, prices or balances. The ERP is used all day by the whole company, so nothing we built could put it at risk.
Our approach
We mapped how orders, routes, visit days, and payments really worked before writing anything. Then we built an agent around those rules, with a single, controlled write path into the ERP, a staged rollout (read-only first, then a few trusted customers), and a person in the loop wherever judgment was needed.
What we built
Order taking over WhatsApp
Customers and the telesales team send text, voice notes, photos, or PDFs. The agent finds the customer record, builds the order from the live catalogue and stock, and returns a quote in USD and local currency.
An assistant for sales reps
Reps ask for stock, prices, balances and past orders, and place orders for customers, scoped to what their role allows.
Route and calendar logic
Load days, delivery days, and cut-off times follow each customer's route. Orders for later dates are held and loaded automatically at the right moment.
Payment receipt verification
Receipts are read and checked against the account, amount, date, and reference. Clear mismatches are rejected with a reason. Doubtful ones go quietly to a person for review.
Team inbox and daily summaries
A shared inbox with tags and search, handoff alerts to staff, and morning and evening summaries including sales lost to stock-outs. The team can teach the agent new rules from WhatsApp itself.
A safe bridge into the ERP
Product creation and updates, including price and stock changes, run as preview then confirm. Changes are all-or-nothing, show a before and after, and are logged. Customer record changes go through an approval queue and never touch live records directly.
Outcomes
What changed.
- The distributor closed a month with 20% more sales after adopting the agent.
- Customers order on their own, around the clock, directly with the agent on WhatsApp.
- Reps check stock, prices and balances on the spot and place orders from the customer's shop.
- Stock-outs are recorded instead of silently lost, giving the team a lost-sales view.
- Payment checks are consistent, and staff time goes to the doubtful cases only.
- The live ERP was never put at risk: reads first, writes behind a switch, backups before every deploy.
In their words
Before, every order went through our sales reps, who loaded it on the web platform. Now customers order directly with the AI agent on WhatsApp, and our reps check stock, prices and balances on the spot and place orders from the customer's shop. The month after we launched, we closed with 20% more sales.
